Submission, Receiving & Collection Deadlines

Monday 4 July, 12 noon: Deadline for online digital submission of installation, film, performance and large-scale work (over 180cm in any direction, including any frame) – Notified if pre-selected by logging in to www.registrationssa.org after middnight Thursday 28 July.

Thursday 1 September, 12 noon: Deadline for online digital submission of all work (under 180cm in any direction, including any frame) – Notified if pre-selected by logging in to www.registrationssa.org after middnight Thursday 29 September.

Receiving Day
Hand-in of shortlisted works pre-selected from digital images
Sunday 23 October, 10am to 7pm

– Notified if selected by logging in to www.registrationssa.org after 7pm on Tuesday 25 October.

Collection of Unselected Works

EXHIBITION BY-LAWS

1. All works must be submitted online digitally at www.registrationssa.org by the deadlines stated above.
All artists will require an email address to submit works digitally online. All artists must register if they have not submitted through this system in the past. Members will require their SSA Membership Number to register or the system will not recognise that they are members. If an artist registered in the past, their email address and password can be used again to login. The digital submissions will form the first round selection process. The Selection Committee will choose a shortlist from digital photographs of work online. They will do this independently initially, and then will meet as a group to create the final shortlist. The shortlisted works will then be viewed in the gallery and a further selection will be made. This selection will form the SSA Annual Exhibition 2016 at the Hanging & Arranging Committees discretion.

2. Receiving Day
All works pre-selected from digital submissions must be delivered to the RSA back door on the date outlined above. Works must be without hooks, rings or any other hanging system and without packaging. Works from a distance should be consigned, if necessary, to an agent in Edinburgh so that these conditions are fulfilled, or clear instructions given to carriers.

3. Transportation of Works
The SSA is committed to good carbon management and encourages artists to transport works responsibly. Information on SSA recommended carriers is available on the SSA website: www.s-s-a.org/recommended-carriers

4. Retrospective Exhibits
No work submitted may be retrospective (i.e. exhibited in Edinburgh at an exhibition where an admission charge has been made) with the exception of sculpture where one retrospective work is allowed. The Council however reserve the right to invite retrospective works.

5. Selecting
(a) Work in all media is considered. All works submitted are subject to approval or rejection by the Selecting and Hanging & Arranging Committees whose verdict is final.
The Council however reserves the right to procure for the exhibition works of distinguished merit, which shall not be subject to the judgment of the Selecting Committee.
(b) Notification of works pre-selected digitally online will be announced on the dates outlined above at: www.registrationssa.org. Final notification of works selected or not selected will be announced on the date outlined above at: www.registrationssa.org.

6. Number of Works
The following number of works may be submitted for SSA 2016: Honorary and Professional Members – four works, Ordinary Members and Student Members – three works and Non-members – two works

7. Submission Fees
(a) Honorary, Professional & Ordinary Members will not be charged a submission fee. Student Members will be charged a half price submission fee of £7.50 for each work submitted. Non-members will be charged a submission fee of £15 for each work submitted.
Where applicable submission fees will be requested whilst going through the submission process online. Payments will be taken from within PayPal. PayPal is quick, safe and secure and allows you to pay using your credit/debit card or to use/set up your own PayPal account. If you want to know more about why PayPal is safe for online payments, visit their website www.paypal.com. PayPal will send you a receipt for your payment.

8. Hanging Fees
(a) Members will be charged a hanging fee of £5 for each work hung in the exhibition, to be paid on collection of works exhibited or posted out to our Administrator prior to this date.
(b) Non-members will be charged a hanging fee of £15 for each work hung in the exhibition, to be paid on collection of works exhibited or posted out to our Administrator prior to this date.

9. Grouped Works
(a) The selection committee reserves the right to decide whether groups of works submitted as one (pair, triptych or set) are justifiably inseparable and can decide to exhibit only part of such submissions.
(b) Groups of works deemed to have been unjustifiably submitted as one (pair, triptych or set) may be subject to registration fees for the individual works.

10. Paperwork and Labels
(a) A printout of the confirmation receipt from submission at www.registrationssa.org must be handed in alongside each pre-selected artwork.
(b) A printout of the confirmation receipt from submission at www.registrationssa.org must be attached securely to the back of the frame of each two-dimensional pre-selected work and, where possible, on the base or elsewhere on each three-dimensional pre-selected work.
(c) A two-part label will be supplied by the SSA on delivery of the pre-selected work to the gallery. Both parts of this label must be completed in full in the gallery and be attached securely to each pre-selected work with string. In the case of 2D work, this should be attached to the top back of the frame, so as to hang over the front.

11. Framing and Presentation
The Council may reject art works on the ground of insecurity or other inadequacies of the frame. The top of two-dimensional works must be clearly marked on the back. The frames must be capable of supporting mirror plates, unless by prior arrangement with the Society. In the case of three-dimensional works that require a plinth, this is the responsibility of the artist and must be provided with the work at the time of submission.

12. Collection of Works
All unselected works must be collected from the gallery on the dates outlined above. All unsold exhibited works must be removed from the gallery on the dates outlined above. This regulation must be strictly observed since the Society’s use of the Galleries terminates at close of the day on Wednesday 26, and the galleries must therefore be cleared. Any work not collected by an owner or agent on these dates will be charged £10 per day for storage. The work shall be removed from the premises of NGS by the Society, and storage arranged by a Member of Council. Subsequent collection of this work must be through prior arrangement with the Administrator and Council Member. The Society accepts no responsibility for the loss or damage of work during this time. Any work not collected within two weeks of the close of the exhibition will become the property of the Council of the Society who will have the right to dispose of it in any way they deem fit thereafter.

13. Commission on sales
A commission of 30% for Professional Members, 35% for Ordinary Members and Student Members and 40% for Non-members will be charged on the catalogue price of all works sold in the exhibition, whether the sale is effected by the artist or through the Society. The Society should be immediately informed of sales effected by the artist. Otherwise a sale made in the interval by the Society must have preference.

14. Liability for Works
The Society will endeavour to take care of all works submitted or exhibited but does not hold itself responsible for any loss or damage which may occur to works while in the custody of the Society or its agents. The Society does not insure work in transit or while in the Gallery.

15. Photographic Reproduction
It will be assumed that the artist allows photographic reproduction of works submitted for publicity purposes in print and on the web unless the contrary intention is indicated.

 

These By-Laws are framed to meet normal contingencies. In the event of any circumstances arising not specifically provided for, the Council reserve the right to deal with such circumstances on their merits.
